At project close, all patient data is securely deleted within 48 hours. We confirm that deletion to you in writing — so you have a documented record, not just our word for it.
Your patient data is never used for any purpose outside the agreed campaign scope. It is not retained after project close, not referenced in any marketing or reporting without your consent, and never shared with any third party.

Our model works best for small and medium-sized practices where a meaningful portion of patients pay out of pocket or use HSA funds. If your practice is primarily insurance-dependent, the ROI of re-engagement campaigns can be harder to calculate in real time. No. All outreach goes out under your practice name, from your email address and/or phone number, through your communication platforms. Your patients see your name, not ours. We are invisible by design.

After signing, you'll complete a structured intake form that walks you through everything we need. In general that includes:
A patient contact list: exported from your EHR or practice management system in CSV or Excel format. We'll tell you exactly which fields to include and which to leave out. This is transferred to us via secure encrypted file transfer—never by standard email.
A sending email address on your practice domain, so all outreach reaches your patients from a name they recognize.
Access to whatever communication platform you already use: email, texting tool, EHR messaging, or Google Voice. If you don't have one, we'll help you set one up. Credentials are submitted through a secure sharing process, not email.
Your branding and messaging guidelines: preferred tone, sign-off name, logo, and anything you want us to avoid saying.
Written confirmation that your contacts have consented to receive communications from your practice.
Everything we receive is stored in encrypted, access-controlled systems for the duration of the project and deleted within 48 hours of project close, confirmed to you in writing. We never use patient data for any purpose outside the agreed campaign scope.
